Commercial HVAC Repair Coordinator

 

Kalos Services is seeking a Commercial HVAC Repair Coordinator to support and manage repair operations within our commercial HVAC/R division. This role ensures efficient coordination of repair jobs from initial diagnosis to completion while maintaining clear communication with technicians, customers, and vendors. We’re looking for someone with strong organizational and technical skills—particularly in commercial refrigeration—who thrives in a fast-paced, detail-oriented environment.

 

Job Type & Schedule

  • Day Shift, Monday – Friday

 

Compensation

  • $20-26 hourly based on experience

 

Responsibilities

  • Schedule, track, and dispatch repair jobs for commercial HVAC/R service calls
  • Communicate clearly with customers regarding timelines, technician arrivals, and job updates
  • Follow through on repairs from diagnosis to job completion using service software (we use ServiceTitan)
  • Prepare and manage quotes for parts and repairs; follow up with customers for approval
  • Source, price, and track parts orders while coordinating with vendors and suppliers
  • Prioritize urgent/emergency requests and adjust technician workloads accordingly
  • Maintain accurate service notes, repair estimates, and job documentation
  • Support the service manager in warranty tracking, reporting, and escalations
  • Identify and help resolve recurring equipment issues or supply chain challenges

 

Requirements

  • Experience in HVAC or refrigeration, preferably refrigeration-focused
  • Strong technical knowledge of HVAC systems, components, and repair workflows
  • Proficient in quoting and pricing parts accurately and competitively
  • Excellent communication skills for customer follow-up, approvals, and updates
  • Strong organizational skills to manage multiple quotes, schedules, and priorities
  • Resourceful problem-solver with the ability to handle parts, pricing, and scheduling issues quickly
  • Attention to detail to ensure complete accuracy in quotes, service logs, and documentation
  • Proficiency in job tracking or dispatching software (ServiceTitan experience is a plus)
